Annual Leave With Dependent Leave Types
Use CaseSome organizations designate Annual Leave as a primary entitlement.
Other leave types (e.g., Wellness Day, Rehabilitation Day, Extra Personal Day) are configured as dependent leave types, which may only be used when all applicable Annual Leave entitlements with overlapping validity have been fully consumed.
Business Purpose
- Ensures that the primary leave entitlement is utilized before dependent entitlements
- Prevents use of specialized leave types while Annual Leave remains available
- Supports tiered leave policy structures
System Behavior
- Dependent leave types define Annual Leave as a Prerequisite Entitlement
- A dependent leave request is permitted only when all overlapping Annual Leave entitlements have a zero balance
- The system enforces prerequisite relationships automatically during request or shift validation
Carryover Vacation (Overlapping Entitlements)
Use CaseSome organizations allow remaining vacation balance from one year to carry over into the next, resulting in overlapping Vacation Entitlement periods.
Example configuration:
- Vacation 2024: Valid until Mar 31, 2025
- Vacation 2025: Valid from Jan 1, 2025
When deduction is required, the system must always consume the oldest valid entitlement first.
Business Purpose
- Prevents balance expiration during overlapping validity periods
- Provides predictable and rules-based deduction handling
- Minimizes the need for manual adjustments
System Behavior
- All overlapping entitlement allocations of the same Entitlement Type are evaluated together
- Deduction follows the earliest Validity Start date (oldest-first prioritization)
- When an older entitlement is fully deducted or no longer valid, remaining deduction automatically continues from the next valid entitlement
Reward-Based Extra Day Off
Use CaseEmployees may receive additional leave entitlements through reward programs (e.g., recognition awards, performance incentives, wellness participation).
Each reward creates a separate Employee Entitlement allocation.
Business Purpose
- Provides flexible, employee-specific entitlements
- Encourages participation through reward-linked benefits
- Integrates reward mechanisms into standard entitlement tracking
System Behavior
- Each reward generates a new entitlement allocation of the appropriate Entitlement Type
Shared Paid Leave Pool
Use CaseMultiple leave types may be linked to a single shared Entitlement Type, such as a combined annual allowance (e.g., Special Personal Day, Family Assistance Day, Volunteering Day) allocated from one shared pool.
Business Purpose
- Ensures employees cannot exceed a shared total allowance across multiple activities
- Allows organizations to report usage separately by activity while maintaining one balance
- Simplifies configuration and ongoing policy maintenance
System Behavior
- Multiple RosterItemPartTypes reference the same Entitlement Type
- Any request or shift linked to these activities deducts from the same entitlement balance
- When the shared balance reaches zero, all related leave types are automatically blocked
Compensatory Time Off From Overtime
Use CaseApproved overtime can be converted into compensatory leave, generating a corresponding entitlement allocation.
Business Purpose
- Provides recovery time for employees instead of overtime payment
- Harmonizes overtime tracking with leave entitlements
- Allows employees to schedule compensatory leave flexibly
System Behavior
- Approved overtime is recorded as part of the employee’s attendance and can be used as a basis for compensatory time off
- Compensatory time off is scheduled through standard requests and shift changes, in the same way as other absence types
- Entitlement usage follows the standard entitlement rules, with no special or exceptional processing
Unpaid Leave (Non-Entitlement Activity)
Use CaseSome organizations configure Unpaid Leave as an activity that does not consume entitlements and is handled independently of entitlement balances.
Business Purpose
- Allows organizations to grant time off without allocating entitlement balances
- Supports exceptional or ad-hoc absence scenarios
- Keeps entitlement policies simple where unpaid leave does not require tracking
System Behavior
- Unpaid Leave is configured as a non-entitlement activity
- Requests or shift changes using this activity do not trigger entitlement lookup or balance deduction
- Approval and application follow standard activity configuration and scheduling rules
Home Office / Remote Work
Use CaseHome Office / Remote Work is handled as a standard activity and may interact with entitlements depending on configuration.
Business Purpose
- Supports tracking and approval of remote work
- Provides visibility into work location or work mode
- Enables consistent reporting and policy enforcement
System Behavior
- Home Office / Remote Work follows standard activity validation and approval rules
- Entitlement evaluation or deduction occurs only if the activity is configured to use an entitlement
- Approved requests or shift changes appear in the roster according to standard scheduling behavior
